Graduation Certificate Processes

 Graduation (Diploma) Certificate: This is the type of document that certifies a student has successfully completed the curriculum of our undergraduate programs and is eligible for graduation.
  • It contains information about the student's graduation.
  • It may be required during the student's application process to relevant institutions or organizations and is considered an official document.
  • To be eligible for this certificate, certain requirements must be met. These requirements are:
a) The minimum number of ECTS (European Credit Transfer and Accumulation System) credits taken and successfully completed each semester in the undergraduate program must be 30/32 ECTS (in programs with the Career Planning course, the total ECTS value for the first semester courses is 32).
b) The total ECTS credits for the entire eight semesters of the undergraduate program must reach 240/242 ECTS, with a cumulative GPA (CGPA) of 2.00 or higher.
c) All courses (9 courses / 40 ECTS) within the optional pedagogical formation training program must be taken and successfully completed.
  • The verification process for meeting the document eligibility must be done by each student with graduation potential via the UBYS transcript application. In case of issues, the student should contact their advisor.
The transcript verification process, which is suggested to be done based on the student's relevant curriculum, should check:
  • Whether all mandatory and elective courses are completed,
  • Whether there are no absences or failed grades in these courses,
  • Whether the total ECTS for the elective courses in a semester equals the total ECTS value for the elective course pool in that semester,
  • Whether the total ECTS for all mandatory/elective courses taken and successfully completed in each semester equals 30/*32 ECTS (*In programs with the Career Planning course, the total ECTS value for the first semester courses is 32),
  • Whether the total ECTS for all courses taken across the eight semesters equals 240/*242 ECTS (*In programs with the Career Planning course, the total ECTS for all courses across all semesters is 242),
  • Whether the cumulative GPA (CGPA) is at least 2.00,
  • Whether all courses within the optional pedagogical formation program are taken and successfully completed. (Students who do not complete the formation training courses or whose formation program registration is "active" will not be granted graduation.)
  • Any additional courses taken/completed beyond 30 ECTS in one semester will not make up for the deficit of less than 30 ECTS in another semester. (For example, the 10 ECTS excess in the fifth semester will not compensate for the 10 ECTS deficit in the seventh semester, where there are 20 ECTS.) Students in this situation will not appear on the list of graduation candidates obtained via UBYS.
DOCUMENT PROCESS;
  • The processes for determining, listing, offering, and finalizing the students eligible for the certificate are carried out by our faculty. After each exam activity (final exam, make-up exam, odd-even exams, maximum study period final exam) at the end of the active teaching semester, the list of graduation candidates obtained from the UBYS database is finalized with the decision of the Faculty of Arts and Sciences Administrative Board and submitted to the BAIBU Student Affairs Department within three weeks at the latest.
  • The processes for preparing, printing, electronically signing with a secure digital signature, delivering the certificate, and starting the student's departure procedures are handled by the BAIBU Student Affairs Department.
  • The evaluation and e-approval process for departure procedures are carried out by the representatives of our faculty in collaboration with the officers of the BAIBU Student Affairs, Health, Culture, and Sports, and Library and Documentation Department. The system message for this process, carried out via UBYS, will be sent to the student's institutional email address. Additionally, this can be tracked by the student via the UBYS application. (UBYS / STUDENT SYSTEM / Student Information Screen / Other / History Information)
  • The departure procedure will not be approved for students who have not fulfilled their financial and legal obligations to our institution (e.g., those with outstanding tuition fees, those who have not returned borrowed books/documents/materials, etc.).
  • Students who have no issues with their departure process will have their affiliation with our university terminated, their graduation date recorded in UBYS, and this data will subsequently be transferred from UBYS to the YÖKSİS database, and then to the e-Government application. As a result, the graduation certificate will be available for query/production/usage via e-Government.
The diploma and its annex will be provided free of charge within one month starting from the graduation date. There is no need for the student to take any action before or after the mentioned process steps or the delivery of the document. For the delivery, it is sufficient for the student or their notarized proxy to be present at the BAIBU Student Affairs Department and present their identity card/national ID.
